Can I receive email alerts when an item in ChangePilot Pro is updated?
It is possible to set up email alerts when an item within ChangePilot Pro is updated. This may be useful to alert users when specific tags are added, an item is updated, or a note is added.
This article is relevant for ChangePilot Pro users only.
As a ChangePilot Pro user, all live Microsoft 365 Message Center items for your tenant can be found in your 'ChangeTracker' SharePoint List. Because of this, the native 'Rules' function within SharePoint Lists can be used to configure email alerts when certain things happen.
To set up an email alert via SharePoint List rules
- Open ChangeTracker (SharePoint List)
- In the top ribbon, navigate to Automate > Rules > Create a rule
- Select 'Notify someone when an item is modified'
- You will be presented with three variables to configure:
- Column: choose the column/field the email alert should be based on.
- Condition: depending on the column type selected, you will have different rule options available to trigger an alert.
- Email address: set the address to which the alert is sent to.
Alerts can be set up when things change across any column, field or variable against an item or within the SharePoint List. A common scenario where email alerts might be used is when custom tags are added, and relevant users want to be notified.
Setting up alerts when a tag is added to an item
It is possible to configure custom tags in ChangePilot Pro. For instructions on how to configure custom tags, see this article. In some instances, tags might be used to associate an item with a particular team or business unit. It can therefore be useful for users to be alerted when items are tagged for their attention.
Using the steps above to set up an email alert, choose the 'Tags' column. In the condition selector, choose 'contains' and select the relevant tag in the new drop down selector that appears.
