We are no longer using ChangePilot Pro. How is the product decommissioned and uninstalled?

Decommission ChangePilot Pro by notifying the ChangePilot Team and removing all ChangePilot tools and installations from your environment.

Whilst we hope all organisations continue to find value from ChangePilot now and in to the future, we understand sometimes it's appropriate for the system to be decommissioned and removed from your environment.

If this is ever the case, please get in touch with your Customer Success contact. The ChangePilot Team will conduct some steps to disconnect from your tenant. These are:

  • Remove data collection, and stop retrieving Message Center information for tenant/s IDs provided during install.
  • Remove all configuration for tenant/s IDs including SharePoint List and Teams IDs.

Your Customer Success contact will confirm when this is complete. From this point, you will no longer receive new items to your SharePoint Lists nor receive new and updated Teams channel posts.

You will be asked to removed all ChangePilot tools and installations in your environment:

Delete the ChangePilot enterprise app registration

The user conducting these steps must be an administrator in Microsoft 365 with permission to manage Teams apps.

  1. Go to https://admin.teams.microsoft.com and use admin credentials to log in.
  2. In the left-hand navigation pane, select Teams apps > Manage apps. You will see a list of all available apps, both Microsoft provided and third-party/enterprise apps.
  3. Find the ChangePilot enterprise app and click on the app name to view more details.
  4. It is recommended to block the app before deletion. In the app's settings, click Block. This prevents users from accessing the app before removing it entirely.
  5. To delete the app, whilst in app settings, click Delete or Remove (the option only differs depending on the way in which you initially installed the app). Confirm the action when prompted.
  6. Next, double check app permission policies to make sure the ChangePilot app is no longer associated to any policies. Navigate to Teams apps > Permission policies. If it was allowed previously, remove it from all policy configurations.
  7. Finally, inform all users that had access to the ChangePilot app of its removal.

Delete your Message Center (ChangeTracker) and Roadmap SharePoint Lists

⚠️ Important: This action cannot be undone. Consider exporting the contents of your SharePoint Lists at this point.

The following steps assume working with the List in a browser. If working in Teams, navigate to the tabbed List and select Open in SharePoint via the ellipsis (...)in the navigation bar.

  1. With the List open, navigate to the settings/cog icon in the main SharePoint ribbon. This will open a navigation pane. Select List settings.

  2. Navigate to Permissions and Management and select Delete this list.


  3. Confirm the action when prompted.
  4. Navigate to Site contents > Recycle bin. Select the deleted List and delete to permanently remove.
  5. Repeat these steps for each SharePoint List created as part of the ChangePilot installation:
    1. ChangeTracker (for the Microsoft 365 Message Center)
    2. M365 Roadmap
    3. ChangeTracker Archive - not all ChangePilot deployments will include this

Delete the ChangePilot Team in Microsoft Teams

The user conducting these steps must be an administrator in Microsoft 365, or be the owner of the ChangePilot Team in Microsoft Teams.

There are two ways to delete the ChangePilot Team. Via Teams or via the Microsoft 365 Admin Center.

Deleting the ChangePilot Team - in Teams

  1. Open Microsoft Teams
  2. Click ... (More options) next to the Team name
  3. Choose Manage team
  4. Click Settings > Delete team
  5. You’ll be prompted to confirm—check the box and click Delete

This removes the Team but the Microsoft 365 Group and associated resources linger for up to 30 days unless purged manually.

To purge/delete the Group:

  1. In Admin Center, go to Groups > Deleted groups

  2. Locate your deleted Team's group

  3. Click Permanently delete

Deleting the ChangePilot Team - in the Microsoft 365 Admin Center

  1. Visit https://admin.microsoft.com

  2. Go to Groups > Active groups

  3. Find and select the Microsoft 365 Group linked to your Team

  4. Click Delete Group

  5. Confirm deletion (this removes email, SharePoint site, Planner tasks, and Teams presence)

Delete the ChangPilot App (powered by Power Apps)

  1. Go to https://make.powerapps.com and select the correct environment in the top-right corner.
  2. In the left pane, click Apps and find the ChangePilot App.
  3. Click the ... (more options) next to the app name, select Delete and confirm the action once prompted.

Delete the ChangePilot Power BI workspace

You must be a workspace admin to unpublish or delete a Power BI workspace.

  1. Sign in to Power BI.
  2. In the left hand pane, select Workspaces and open the workspace that originally published the app.
  3. In the workspace, click the three dots (...) in the top-right corner and select Unpublish App. Confirm the action when prompted.

  4. If the workspace was created solely for distribution and you no longer need it, go to Workspace Settings, scroll down and click Remove this workspace. Confirm the action when prompted.
