How do I save a filtered view of ChangeTracker in SharePoint/Microsoft Lists?
All Microsoft M365 Message Center from your tenant are stored in ChangeTracker; a SharePoint/Microsoft List. It is possible to save a filtered view accessible via both the List, and as a tab in a Service Category's channel in Microsoft Teams.
This article is relevant for ChangePilot Pro users only.
Setting a default view for ChangeTracker
There are lots of options for configuring default views of ChangeTracker depending on the audience.
For the 'home' version of ChangeTracker set up as a tab in the ChangePilot General/Home channel, it is recommended to order the items by ‘Last Updated’ Newer to older, and save as the default view:
- Click on the column header and select 'Newer to older'
- Then navigate to the drop down menu in the top right which should say ‘All items’. Use the menu to select ‘Save view as’, and re-save the view as ‘All items’. This will become the new default view for the ChangeTracker.
Saving filtered views in ChangeTracker
Once a default view is configured for the General/Home channel, you can repeat the process above, saving and naming views as appropriate. Note, these views will be available and visible for any user who visits ChangeTracker.
Adding Service Category views to Microsoft Teams channels
Once a default view and required filtered views are configured, it’s possible to add saved views for each Service Category in each channel. The steps below include the set up of filtered views for Service Category channels, and adding to channel tabs:
- In the ‘All items’ view of the List, click on the ‘Services’ heading and select ‘Filter by’.
- This will pop a panel where you can select the Services to include. Refer to your channel mapping and select every service that maps to the Service Category/channel in question. For example, to set up the view for the ‘Teams’ channel, you must select Teams, SfB, Shifts, Webinar, Live Events, Town Hall, Teams UC, MTR and Surface Hub.
See this article for more information about Service Categories and how Microsoft services and products map into categories. - Make sure this new view is also ordered ‘Newest to oldest’ in the ‘Last Updated’ column.
- Save this view using 'Create new view' and name it appropriately with no spaces. (e.g. ‘Teams’ or ‘TeamsServices’)
- With this new view now active, click the same views drop down and select ‘Edit current view’.
- This will open a new browser window providing a web address of the specific view, as below. Copy and paste this URL.
- Navigate back to Teams and go to the relevant channel (in this instance, Teams). From here, add a new channel tab, repeating the steps to add a ‘Lists’ tab as in the pre-deployment steps. However, instead of generating a new list, ‘Add an existing list’.
- Enter the view URL as the Sharepoint link. You may have to remove the spaces between the List name and ‘.aspx’
- You can then rename the tab as appropriate e.g. ‘ChangeTracker: Teams Service Category’
